The worst time for a new buyer to call is the moment you're walking another client through a house. You can't pick up, and a buyer who just saw your sign often calls the next agent. Here's a practical setup to make sure those calls still get a response.
Why showings are the problem
Your sign calls, portal inquiries and referrals don't schedule themselves around your calendar. Showings, open houses, inspections and closings are exactly when you can't answer, and they're also when your marketing is working hardest. The goal isn't to answer every call yourself. It's to make sure callers get a real next step.
1. Forward the calls you can't take
Use conditional call forwarding so your phone rings first and only unanswered or busy calls go to your backup, whether that's a teammate, an assistant or an AI receptionist. You keep your number, and nothing changes when you're free to pick up. Step-by-step codes for each carrier are in our guide: how to forward calls when you're busy.
2. Decide what every caller should be asked
Write down the handful of questions you'd ask on a first call, so whoever answers asks the same ones:
- Which property or sign are you calling about?
- Are you looking to buy, sell, or both?
- Are you working with an agent already?
- What's your timeline?
- What's the best number and email to reach you?
Keep questions about financing light and never ask about protected characteristics. Every caller should get the same treatment under fair housing rules.
3. Book the next step on the first call
A caller who leaves with a showing time or a callback time has a reason to wait for you instead of calling the next agent. Share a booking link or have your backup put the showing on your calendar right away.
4. Follow up after open houses the same day
Sign-in sheets go stale fast. Send each visitor a short, personal email the same day with the listing details and an easy way to book a private showing. If you plan to text visitors, get their consent on the sign-in sheet first.
5. Use Do Not Disturb carefully
Silencing your phone during a showing is good manners, but check what your phone does with calls in that mode. Depending on your phone and settings, a silenced call may go straight to voicemail instead of following your forwarding rules. Test it before your next showing by calling yourself from another phone.
6. Review missed calls every evening
Spend five minutes at the end of each day going through missed calls and call summaries. Anyone without a next step gets a callback or an email the same evening.
RaheemAI sets up Ava, an AI receptionist for real estate agents, who answers when you can't, asks your questions, books the showing on your calendar and emails you a summary. She tells callers she's an AI. See how it works for agents.
